This permanent position offers the opportunity to join a dynamic team supporting critical service operations while ensuring exceptional customer satisfaction.

About the Role

The Service & Spare Parts Administrator will support the Service Manager and Service Engineers by managing spare parts sourcing, processing customer orders, and delivering prompt, accurate customer service. This onsite role is essential for maintaining seamless service department operations and building strong customer relationships.

Key Responsibilities

  • Collaborate with Service Engineers to identify and fulfil customer spare parts requirements
  • Generate accurate quotations using SAP systems with pricing, delivery terms, and payment conditions
  • Develop project-specific spare parts packages tailored to customer needs
  • Process customer purchase orders efficiently and maintain order accuracy
  • Coordinate with suppliers to prioritize urgent spare parts for equipment breakdowns
  • Verify order details including pricing, quantities, delivery dates, and supplier confirmations
  • Prepare comprehensive order confirmations detailing pricing, delivery schedules, and terms
  • Manage logistics coordination between suppliers, freight forwarders, accounts, and customers
  • Maintain SAP system accuracy by reviewing and processing supplier invoices
  • Handle returns and replacements for defective items through proper channels
  • Update pricing and spare parts information in database systems regularly

Required Qualifications

Essential Requirements

  • Proven experience in spare parts administration or similar customer service role
  • Proficiency in SAP Business Package systems
  • Strong Microsoft Office skills across all applications
  • Excellent English communication skills with professional phone manner
  • Demonstrated ability to work independently with minimal supervision

Preferred Qualifications

  • Previous experience in manufacturing or supply chain environment
  • Understanding of spare parts department best practices
  • Experience with freight forwarding and logistics coordination
  • Knowledge of food production industry equipment and components
