About the Role

Brothers of Charity Services Ireland is seeking a dedicated Administrative/Reception Assistant for our Disability Services team in the Clarinbridge area. This full-time position offers the opportunity to make a meaningful impact supporting individuals with disabilities while developing your administrative career in a supportive healthcare environment.

As an Administrative/Reception Assistant, you’ll be the first point of contact for service users, families, and healthcare professionals while providing essential administrative support to our multidisciplinary team. You’ll work 70 hours per fortnight in a dynamic environment that values person-centered care and professional development.


Key Responsibilities

  • Provide reception services including greeting visitors, answering phone calls, and directing enquiries to appropriate team members
  • Manage administrative tasks such as filing, data entry, appointment scheduling, and maintaining accurate records
  • Support service coordination by liaising with healthcare professionals, families, and external agencies
  • Process documentation including referrals, reports, and correspondence in compliance with HSE standards
  • Maintain confidentiality of all service user information in accordance with GDPR and organizational policies
  • Assist with meeting preparation including room setup, documentation distribution, and minute-taking when required
  • Support quality assurance activities and contribute to service improvement initiatives

Essential Requirements

Education & Experience:

  • Leaving Certificate or equivalent qualification
  • Previous administrative or reception experience preferred
  • Experience in healthcare, disability services, or similar environment advantageous

Skills & Competencies:

  • Excellent communication and interpersonal skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong organizational abilities and attention to detail
  • Ability to handle sensitive information with discretion
  • Customer service orientation with empathy and patience
