University Hospital Waterford (UHW) is inviting applications for the role of Medical Secretary (Grade IV – 0558) under a supplementary campaign. This is an excellent opportunity to join the HSE Dublin and South East Health Region, supporting efficient clinical administration in one of Ireland’s leading acute hospitals.
About the Role
The Medical Secretary will provide vital administrative support to clinical and management teams within University Hospital Waterford, ensuring the accurate preparation, processing, and maintenance of medical correspondence, patient records, and departmental documentation. This position plays a key role in maintaining efficient communication and workflow across hospital departments.
Key Responsibilities
- Prepare and manage clinical correspondence, reports, and documentation in line with HSE standards.
- Maintain accurate patient and departmental records using hospital information systems.
- Liaise professionally with consultants, clinical staff, and external healthcare agencies.
- Support scheduling of clinics, meetings, and medical appointments.
- Ensure confidentiality and compliance with data protection legislation.
- Contribute to administrative process improvements within the department.
- Provide general clerical assistance as required by the Administration Manager.
Required Qualifications
Essential
- Minimum of three years’ administrative experience, preferably in a healthcare setting.
- Excellent IT and word processing skills, with proficiency in Microsoft Office.
- Strong organisational, communication, and interpersonal abilities.
- Ability to handle sensitive information with discretion.
- Eligibility to work in Ireland and meet HSE recruitment standards for Grade IV posts.
Preferred
- Previous experience as a Medical Secretary in a hospital or primary care environment.
- Knowledge of HSE systems such as iPIMS, Healthlink, or eReferrals.
- Medical terminology certification or equivalent administrative qualification.
