About the Role

We are seeking an experienced Quality Patient Safety Executive Assistant Dublin to support our Director of Quality, Clinical Governance and Patient Safety. This Grade V position involves working in a dynamic healthcare environment where you’ll manage competing priorities while supporting critical quality and patient safety functions across HSE Dublin and South East region.

Key Responsibilities

  • Administrative Excellence: Provide comprehensive administrative support including diary management, meeting coordination, and professional correspondence for senior Quality and Patient Safety leadership
  • Data Analysis & Reporting: Extract, analyze and present quality and patient safety data in professional report formats for senior management review
  • Stakeholder Coordination: Liaise effectively with senior management, internal teams, and external stakeholders to ensure seamless delivery of quality services
  • Meeting Management: Organize and coordinate meetings, prepare agendas, take accurate minutes, and ensure follow-up actions are completed
  • Quality Assurance Support: Participate actively in Quality and Patient Safety (QPS) Department activities and contribute to achieving departmental objectives
  • Priority Management: Handle multiple competing deadlines while maintaining accuracy and attention to detail in all administrative tasks
  • Professional Communication: Draft letters, emails, and correspondence maintaining the highest professional standards

Required Qualifications

Essential Requirements

  • Proven experience in managing competing priorities and deadlines with demonstrated ability to analyze and interpret information for timely decision-making
  • Administrative expertise gained in a busy office environment, including experience working with senior management and key stakeholders
  • Quality and Patient Safety knowledge through participation in a QPS Department or QPS-related agendas, showing clear understanding of departmental functions
  • Data management skills with experience in extracting data and presenting information in professional report formats
  • Professional communication abilities including diary management, meeting organization, minute-taking, and correspondence writing
  • Current employment with HSE, TUSLA, Section 38 agencies, or statutory health agencies (per WRC Agreement 161867)

Preferred Qualifications

  • Previous experience in healthcare administration
  • Knowledge of HSE quality and patient safety frameworks
  • Proficiency in Microsoft Office Suite and data management systems
  • Understanding of clinical governance principles
