University Hospital Waterford is seeking an experienced Grade V Personal Assistant to support the Director of Nursing & Integration in this permanent, full-time role. Join our Model 4 teaching hospital providing comprehensive healthcare services to the South East region.
About the Role
This senior PA position offers €51,718 – €61,688 annually and serves as the primary administrative support and liaison for the Director of Nursing & Integration. You’ll be the ‘front face’ of the DON office, managing high-level stakeholder relationships and providing executive-level administrative support in a dynamic healthcare environment.
Key Responsibilities
- Act as primary liaison for the DON office with internal and external stakeholders including patients, families, politicians, senior HSE managers, and Department of Health officials
- Provide line management for administrative staff within the DON office
- Deliver comprehensive secretarial and administrative support to the Director of Nursing & Integration
- Maintain robust correspondence systems ensuring chronological filing and timely follow-up on outstanding responses
- Coordinate and manage the DON’s diary including scheduling regular meetings with direct reports
- Manage email communications and prioritize written, electronic and verbal communications for the DON’s attention
- Prepare and quality assure agendas, documents and correspondence for designated meetings and provide minute-taking services
- Organize meetings and travel arrangements on behalf of the Director of Nursing & Integration
Required Qualifications
Essential Requirements
- Proven experience in senior administrative or executive assistant roles, preferably in healthcare
- Excellent communication and interpersonal skills for stakeholder management
- Strong organizational abilities with experience managing complex diaries and correspondence systems
- Professional knowledge and experience in administrative processes and procedures
- Commitment to maintaining confidentiality and professional standards
- Problem-solving skills and ability to work independently in ambiguous situations
Preferred Qualifications
- Experience in healthcare administration or HSE environment
- Knowledge of nursing and healthcare integration processes
- Experience with minute-taking and meeting coordination
- Familiarity with HSE policies and procedures
