The Health Service Executive (HSE) Dublin and North East Region is seeking a dedicated Grade IV Clerical Officer to join our Obesity and Bariatrics Service at Connolly Hospital, Blanchardstown. About the Role

This Grade IV Clerical Officer position provides essential administrative support to our Obesity and Bariatrics Service, ensuring smooth operation of outpatient services and optimal patient care. Working within our multidisciplinary healthcare team, you’ll play a crucial role in managing patient appointments, maintaining healthcare records, and supervising clerical staff while contributing to improved health outcomes for our community.

Key Responsibilities

  • Manage outpatient appointment systems including booking appointments, recording outcomes, and reconciling clinic schedules to optimize patient flow
  • Process and track patient referrals on administration systems, ensuring timely management in accordance with established KPIs and NTPF protocols
  • Maintain comprehensive waiting lists and update referral status following clinical team triage, ensuring equity in service provision
  • Supervise and coordinate clerical staff workload distribution, performance management, and team wellbeing within your remit
  • Serve as primary liaison between clinical teams, patients, and external stakeholders, providing exceptional customer service
  • Prepare and maintain patient healthcare records ensuring accuracy, confidentiality, and prompt availability when required
  • Support administrative operations including correspondence, report preparation, meeting coordination, and deadline management

Required Qualifications

Essential Requirements

  • Education: Leaving Certificate with Grade D minimum in five subjects including Mathematics and English/Irish, with Grade C higher level in three subjects, OR equivalent third-level qualification (Level 6 NFQ minimum)
  • Experience: Minimum one year HSE secretarial/administrative experience in healthcare environment
  • Technical Skills: Proficiency in Microsoft Office packages, database systems, and Hospital IT Systems
  • Specialized Knowledge: Audio/Dictaphone typing experience and understanding of NTPF (National Treatment Purchase Fund) reports and Scheduled Care processes
  • Communication: Excellent written and oral communication skills with proven customer service experience

Preferred Qualifications

  • Experience with MS Teams scheduling and conferencing facilities
  • Background in report preparation and data analysis using Microsoft Excel
  • Experience working with internal and external healthcare stakeholders
  • Professional document creation and correspondence management experience
  • Understanding of health service organizational structure and key stakeholder relationships
